Camp Information and Regulations

In the interest of the safety, comfort and welfare of all campers, the following information and regulations will apply. Please read carefully and seek clarification (if required) before signing your application form, which represents as your agreement to abide by all these regulations.

Agreement

I will be responsible for ensuring that all occupants of my site have read and agree to abide by the camping regulations (listed below) knowing that failure to observe these regulations will forfeit my/our right to occupy the site for the remaining portion of the encampment with no reimbursement. I further agree to follow all reasonable directives of the Camp Administration and Security staff.

I agree with the Collection Notice (listed below). I acknowledge that photos will be taken for promoting and reporting purposes. If I do not want my picture taken or used (or those of the people I am registering), please I will inform the Conference office.

Risk & Emergency Treatment
I agree that if I/my child suffers injury or illness, the organisers can arrange medical treatment and emergency evacuation services, as the organisers deem necessary for my child & safety or well-being.

In signing this document, I am aware that there may be some risks involved and choose to allow I/my child to participate based on this understanding. I agree to accept this risk, and release to the full extent permitted by law, the AUSTRALASIAN CONFERENCE ASSOCIATION LIMITED ACN 000 003 930) and/or the SEVENTH-DAY ADVENTIST CHURCH (NORTHERN AUSTRALIA CONFERENCE) LIMITED and its employees and agents from responsibility for any injuries which I/my child may suffer as a result of participating in the programs and activities at Big Camp.

In the event of accident or illness, I authorise the Camp Director, Division Director, or appropriate Staff Member to consent, where it is impractical to communicate with me, for I/my child to receive an x-ray examination, anesthetic, medical, surgical or hospital treatment as may be deemed necessary by a licensed physician and/or surgeon. I also authorise to engage such treatment.

I agree to pay the appropriate fees for such and any ambulance or other emergency transportation costs, which may be required.

I agree to meet the expense of I/my child being returned home, by the Director or leaders accompanying me/my child and then rejoining the group. I understand that such an arrangement may be necessary due to illness, injury, or if, in the opinion of the Camp Director, Division Director, or appropriate Staff Member, non-cooperation of any description or the inability to meet the rigors and requirements of the activity. I allow I/my child to attend on this understanding.

I agree that I/my child will adhere to the safety procedures of the camp.

Wristband ID Requirement

It is a requirement that all attendees to be registered and identified by way of a wristband which must be worn for the duration of Big Camp. By ticking the terms and conditions box I confirm that I and those under my care will register and wear the wristband supplied.

Arrival

The campground is open for site check-in from midday Thursday, 26th June. Everyone arriving must report to registration and receive their site allocation and registration details. Please note that all registered attendees will be issued with wristbands which must be worn.

Accommodation Sites

All bookings are treated on a first-in/first-served basis. There are four different types of accommodation/sites available:

  • Powered Caravan/Camper Site: Powered connections must be an approved Residual Current Device (RCD). Campers must not alter or interfere with any electrical connection at any time if a problem arises.
  • Unpowered Caravan/Camper Site: An unpowered site for caravan/camper/other. Does not include power or water supply.
  • Unpowered Private Tent Site: Bring your own tent.
  • Conference Tents: NO POWER OR LIGHTS PROVIDED. There is no facility to provide light or power in the Conference tents and therefore you will need to provide your own battery powered light for your tent.
  • Conference Tents (Powered): These sites are for those who need power for medical reasons only. Lights are not provided.

It is imperative that the type and dimensions of your accommodation (except Conference Tent) be stated on your application form so that an appropriate site can be allocated to you.

Due to demand of all sites and our limited facilities, preferential treatment will be given to Northern Australian Conference members up to the 1st May 2025. After this time, interstate visitors can book for all sites.

Fees

  • Payment for your site and/or furniture must accompany your application form to secure your booking.
  • Attendance fee is also required for all campers including children 4 years old and older.
  • The Early Bird Discounted Cost ends on the 11th April 2025.
  • There is no discount for partial stay. Flat rate applied for each site regardless of length of stay.
  • A refundable Furniture Deposit is required to be paid when ordering any quantity of furniture. This deposit is refunded at the end of the Camp when furniture is returned to the furniture shed in working order.
  • To fully participate in camp, all children are encouraged to pay the Actipass fee for their division. If the Actipass fee is not paid, only meetings can be attended with no participation in activities and/or crafts.

Facilities

Two ablution blocks are available, containing toilets and showers. There is a coin operated washing machine available in the ladies end of the eastern block. The western block also includes coin operated laundry facilities requiring three $1 coins per load.

Covid-19

Please ensure you practice increased personal hygiene. If you have COVID while at camp, please follow the State Government hygiene and isolation practices.

Water Supply

Please note that the hot water supply is limited. Please keep showers short and do not leave taps running.

Rubbish Disposal

It is every attendee’s responsibility to keep the camp site clean and tidy. Skip bins are located at central points around the campground.

Generators

Generators are not permitted to be used on-site at any time. A charging station for batteries will be set up for the use of campers

Movement & Parking of Vehicles

In terms of vehicular movement and parking, the following guidelines need to be recognised. 

On the first day of Big Camp, Friday the June the 27th, campers will be allowed vehicular access to set up their camps. Outside of this, vehicular movement on the campground will cease as from 5.00 pm Friday commencement of camp until 6.00 pm Sabbath finish of camp (Service vehicles excepted). No vehicles will be allowed in private tent sites or smaller caravan sites adjacent to White toilet block, as from Friday 5.00 pm.  Larger caravan sites are permitted to park vehicles within their designated site but are not free to drive to and from their site during camp. I.e. if they drive out during camp, they will have to use alternative parking for remainder of camp. 

Please respect a closed barrier as an indication of no vehicle access. If you do require a car access on site for special circumstances, see reception or security. A shuttle buggy will be operating during camp to assist people with shopping, and those that need the physical assistance, into their campsites.

Access to any area of the Campground is a privilege and any directions given by Camp Staff must be always obeyed.

Observe all SPEED LIMITS posted. Failure to do so will result in the individual being banned from driving on the grounds.

We will make every effort to have enough parking during the course of Big Camp. This will be limited thus we encourage campers to bring one car per family.

Alcohol & Other Drugs

As the Campground is an alcohol, tobacco and drug-free environment, the following rules apply:

  • Alcohol, tobacco, and illicit drugs are not to be brought onto the Campground. Offenders will forfeit their rights to be on the grounds.
  • If alcohol, tobacco, vaping, or illicit drugs are being consumed at a particular campsite, then all occupants of that site will be required to vacate and forfeit all rights to the site and will not be allowed to use the site again for the duration of Camp.
  • Anyone caught practicing behaviours that don’t align with our values will be asked to leave and will forfeit their rights to be on the grounds without a refund.

Responsibility for Children

During the programs, camp staff and volunteers will facilitate the activities. Outside of program times, children will be the responsibility of their own parents/guardians. Parents are also responsible for dropping off and picking up their children from their respective programs. Parents need to always know where their children are, what they are doing, and which adults are responsible for their supervision and safety.

Photo usage & Promotion

Please be aware that we will have a designated Camp photographer and videographer. The
photos and video footage we take may be used in promotion of our events (online or print).
If you have an issue with you /your child being used in our promotion, please write to us
about your concern before the official start of Big Camp 2025. We will respect your wishes.

Camp Regulations

  • Only registered campers may sleep on the grounds.
  • Under 18 years old are not permitted to camp overnight without adult supervision approved by the Camp Committee.
  • Modest attire is to be worn in all public settings.
  • Loud and offensive language is not accepted or tolerated.
  • Children must not be left without adequate adult supervision at any time.
  • Camp parking is in designated areas only.
  • Noise levels are not to disturb other campers.
  • Pets are not permitted anywhere on the grounds.
  • Bicycles are not to be used on the grounds during camp.
  • Valuables should be cared for and not left in tents or caravans unattended. Please ensure that you look after purses, wallets, and mobile phones at all times.
  • There is a camp curfew for all campers at 10.00 pm. This means that there will be a quiet period from 9.30 pm and all campers should be in their elected accommodation site with lights off and no noise by 11:00 pm.

Applications

Camp Administration reserves the right to accept or reject any application. No application will be accepted unless accompanied by full payment. The occupier of the site, who is to be the responsible adult, must sign the application form.

CAMP APPLICATIONS CLOSE ON THE 6th JUNE 2025 at 12:00pm – Any applications received after this date will incur a $100 late fee and are subject to availability.

Collections

The Northern Australian Conference is collecting this information to assist it with planning a successful and safe event for all attendees. To this end the information you provide will be shared with Adsafe, the child and Vulnerable Person Protection service for the Adventist Church who will assist the Conference with the assessment of safety risks around a person’s attendance.

Wrist Bands

For the safety of all attendees, please ensure wrist bands are worn at all times. Unregistered guests are not to be invited onto the grounds. Security will be enforcing wrist bands.
